I recently implemented a new online payroll/time and attendance system to a work force that is intensely fearful of technology. This project was a success, but not without some obstacles. When I reflect on the time spent on this project, I found that most time was spent in one on ones with managers and employees to do the simplest of tasks such as logging in and registering their accounts. While this was time consuming, there was great reward and satisfaction in seeing employees step outside of their comfort zone for something that has improved their workflow drastically. It took that extra personal touch to make the project a success. Implementing any new system can be a challenge. Here are some things I have learned over the years to help ensure success:
- Know your company culture intimately. Find a product/system that will ease workload, but be user-friendly. There is no cookie-cutter template for all companies or functions.
- Do your homework by researching, testing, and speaking in depth with others who have used a certain product or who have made successful changes-ask the vendor for references of other existing clients.
- Don’t hesitate to negotiate pricing. Many times these systems are over priced (I have not had one company decline a price reduction yet).
- Be realistic and sensitive to work flow in regards to timelines and deadlines.
- Communicate to your staff the reasons why you are making this change. People respond much better when they understand what this will do for them personally and for the company.
- Sculpt your training of the system to meet the learning style of each group.
- Take the time to hold their hand through the process; it will be well worth it!
